Overview
This role is not responsible for the management of individual client projects; however, it requires strong collaboration with Project Managers and Account Managers to maintain an accurate understanding of resourcing demands.
Key Responsibilities
Internal Resource Management
- Manage the allocation and scheduling of internal personnel across all active and upcoming projects.
- Maintain and optimise our day-to-day resourcing visibility within ClickUp, ensuring team members’ workloads are balanced and clear.
- Drive accurate capacity forecasting using Operating for long-term planning, enabling strategic decisions around recruitment and sales.
- Regularly audit capacity plans and resource allocations, ensuring updates are made promptly when team structures or project timelines change.
Stakeholder Engagement
- Collaborate with Project Managers and Account Managers to understand upcoming project needs and timelines, ensuring accurate reflection in resource planning tools.
- Build strong relationships across departments to remain informed about future work pipelines and skill set requirements.
- Serve as a key liaison between delivery and leadership, facilitating regular capacity reviews and flagging areas of risk or opportunity.
Reporting & Communication
- Provide regular reporting to the C-Suite, including future-looking capacity snapshots and recommendations based on current utilisation trends.
- Highlight any resource surpluses or bottlenecks in advance, enabling the business to act on hiring, reallocation, or sales opportunities as needed.
- Monitor workload distribution and recommend changes to improve efficiency and prevent burnout.
Process Ownership & Optimisation
- Champion best practices for resource management, helping to evolve our internal traffic function in line with the agency’s growth.
- Identify and implement process improvements for better resourcing visibility, accuracy, and agility.
- Maintain a skills matrix and liaise with line managers to track skill gaps, training needs, and development opportunities.
Skills & Experience
Essential
- Proven experience in a resource management or traffic management role within an agency or professional services environment.
- High proficiency with project management and resourcing tools (e.g. ClickUp, Float, Monday.com, or equivalent).
- Excellent communication and interpersonal skills, with the ability to navigate stakeholder needs diplomatically.
- Strong analytical thinking and attention to detail, with the ability to forecast and identify patterns or resourcing gaps.
- Highly organised and self-motivated, able to manage multiple timelines and competing priorities.
Desirable
- Experience using Click-up, Operating or similar capacity management tools
- Understanding of project management processes like Agile
- Familiarity with capacity modelling and scenario planning.
